SMA Support Co., Ltd. (hereinafter the Company) deeply understands that the personal information of its customers is a key component of privacy and considers the collection and use of personal information through legal and fair means and appropriate management thereof to be the basis of its business activities and its social responsibility.

When the personal information of customers is handled in the Company's business activities, the executives, employees and all others involved ensure compliance with the Act on the Protection of Personal Information (hereinafter the Act), this policy and internal rules established to protect personal information, in order to live up to the customers' expectations and trust in the Company. The Company also strives to continuously improve its systems and efforts for personal information protection and management to respond adequately to the progress of computerization.

Handling of personal information

  • Definition of personal information
    • (1)Personal information is information concerning individual customers and refers to all kinds of information that can identify a specific individual by name, address, date of birth and other descriptions contained therein (including any information that can be cross-checked against other information and thereby used to identify that specific individual) or an individual identification code.
    • (2)An individual identification code refers to a character, number, symbol or other code produced by having an individual's bodily features, such as fingerprint or facial recognition data, converted so as to be provided for use in computers or a character, number, symbol or other code assigned to an individual such as a passport number or driver's license number (insurance policy numbers and telephone numbers are not regarded as individual identification codes).
  • Acquisition of personal information
    The Company will acquire personal information through legal and fair means within the scope necessary to perform the operations listed below. When requesting its customers to provide their personal information, the Company will establish the purposes of use of the information to the extent possible and notify those customers of such purposes.
    • (1)Operations related to the sale and purchase, lease, export and import, storage and maintenance of the following items
      • ①Automobiles, other types of vehicles and their parts and accessories
      • ②Movables other than the above
    • (2)Operations related to non-life insurance agency business and life insurance solicitation
    • (3)Petroleum product sales business
    • (4)Brokerage-related operations
    • (5)Operations related to risk management
    • (6)Operations related to the management of used car bidding events
    • (7)Freight transportation and handling operations
    • (8)Operations related to the rental car business and rental car arrangements
    • (9)Consignment and proxy services for clerical work and procedures
    • (10)Information processing service business and information provision service business
    • (11)Operations related to the possession, lease and management of real estate
    • (12)All operations incidental or related to any of the above items
  • Purposes of use of personal information
    Except in cases stipulated by law, the Company will use the personal information of its customers to the extent necessary to achieve the following purposes
    • (1)To perform the operations listed in Section 2 above
    • (2)To make credit decisions with regard to transactions with customers and accomplish post-credit management including debt collection as well as management after contract termination
    • (3)To provide insurance and other services for automobiles and other types of vehicles (including reception of accident reports and provision of management information via the Company's online system)
    • (4)To perform the operations for the registration of new vehicles, changes to registered information, transfer of ownership and registration cancellation
    • (5)To perform the operations for the sale, scrapping and other types of disposal of vehicles
    • (6)To entrust personal information to a third-party contractor when outsourcing relevant clerical work (e.g., clerical work related or incidental to the registration of automobiles, insurance contracts, computer input and receivable settlement) to that contractor
    • (7)To provide an auto manufacturer or car dealer with personal information for the purpose of collecting information about automobile safety management at that auto manufacturer or car dealer or providing safety information (including information about vehicles that need troubleshooting)
    • (8)To perform the operations that another business operator entrusts to the Company with regard to the handling of all or part of personal information
    • (9)To confirm the identity or qualifications of a customer
    • (10)To mail or otherwise provide printed sales promotional materials or distribute notices and proposals about products (including new ones) and services in the business operations of the Company and its affiliated companies
    • (11)To promote research and development of services, such as business operations and other activities related to insurance agents and vehicle leasing, through market surveys, data analyses, questionnaires, etc.
    • (12)To provide information or make hiring decisions in response to job applications or queries from job applicants
    • (13)To exercise the Company's rights or fulfill its obligations pursuant to the contract with the customer or relevant laws or achieve a purpose for which the Company has obtained consent from the customer individually
    • (14)To ensure that transactions with customers proceed appropriately and smoothly
      The Company has business relationships with multiple insurance companies and may use the acquired personal information to present these insurance companies' products and services to customers. The insurance companies that delegate their insurance services to the Company state the purposes of use of personal information on their websites (at the bottom of the top page).
  • Use of personal information
    The Company will use personal information to the extent of achieving the specified purposes of use. If personal information is used outside the purposes of use, the Company will obtain consent in advance from the customer(s) concerned.
  • Provision, etc. of personal information to a third party
    The Company will not disclose, entrust or provide the personal information collected from customers to a third party without the prior consent of the customers, except in the following cases.
    • (1)All or part of business operations and other activities related to insurance agents and vehicle leasing are entrusted to the extent of achieving the purposes of use mentioned in Section 3 above.
    • (2)The provision, etc. of personal information is based on laws and regulations.
    • (3)The provision, etc. of personal information is necessary to protect human life, human body and/or properties, and obtaining consent from the customer(s) concerned is difficult.
    • (4)The provision, etc. of personal information is particularly necessary to improve public health or promote the sound growth of children, and obtaining consent from the customer(s) concerned is difficult.
    • (5)The Company is required to cooperate with a national government organ, a local public entity or a person entrusted by such an organization in fulfilling the duties provided for in laws and regulations, and obtaining consent from the customer(s) concerned may hinder the fulfillment of those duties.
  • Shared use of personal information
    To meet diverse customer needs and implement group-wide business management and risk management, the Company may share the retained personal information of customers with its affiliated companies as mentioned below.
